1. Definitions
“Urban Floor Designs”, “we”, “us”, “our” refers to the flooring business providing supply and/or installation services.
“Customer”, “you”, “your” refers to the individual or business receiving goods or services.
“Goods” refers to flooring products supplied.
“Services” refers to installation, fitting, preparation, or any work carried out.
“Contract” refers to the agreement created when a quote is accepted or booking confirmed.
2. Quotes, Scope of Work & Pricing
All quotes are valid for 30 days unless stated otherwise. Quotes are based on the agreed scope of work, measurements and job details at the time of quoting. Any changes, additions or variations to the agreed scope of work (including customer requests made during installation) will be treated as extra work and charged accordingly. Extra costs may apply for hidden issues discovered after lifting existing flooring. Any additional work will be discussed and agreed before continuing.
3. Booking & Payments
A deposit may be required to secure a fitting date and/or order materials. Final payment is due on completion unless agreed otherwise in writing. Materials remain the property of Urban Floor Designs until paid in full.
4. Customer Responsibilities
The customer must ensure the work area is clear of furniture, personal items, and valuables unless agreed otherwise. Pets and children must be kept away from the work area for safety. Safe access, electricity and lighting must be available where required.
5. Heating & Temperature Requirements
To ensure the best finish and long-term performance of your new flooring, the property must be at a suitable working temperature before and during installation.
• Heating must be on and running for at least 24 hours before fitting unless otherwise agreed.
• Room temperature should be maintained at approximately 18°C–22°C during installation and for at least 48 hours after fitting.
• This is especially important for vinyl, LVT, laminate, adhesives and levelling compounds.
• If the property is too cold to install safely or correctly, Urban Floor Designs reserves the right to delay or reschedule the job and additional costs may apply.
6. Flooring Acclimatisation (Storage Before Fitting)
To achieve the best finish and reduce the risk of movement, lifting, or gaps, flooring materials must be allowed to acclimatise to the room temperature before installation.
• Flooring, underlay and adhesives should be stored indoors for at least 24–48 hours before fitting (unless manufacturer instructions state otherwise).
• Materials must be kept flat, in their packaging, and away from damp or cold areas.
• Urban Floor Designs is not responsible for issues caused by incorrect storage (e.g. garages, sheds, cold rooms, moisture exposure).
• If materials have not been acclimatised correctly, fitting may be delayed and additional visits may be chargeable.
7. Subfloor Preparation
Some issues may only become visible once existing flooring is removed.
Any additional preparation or repairs will be quoted and agreed separately before work continues.
8. Installation Work All fitting is completed to a professional standard.
We are not responsible for hidden pipes/cables unless identified or marked. Minor cosmetic marks to existing skirting, plaster or paintwork may occur during normal fitting processes where access is limited.
9. Materials & Product Warranty
Manufacturer warranties apply to supplied products. Natural colour variation and normal expansion/contraction is not a defect. We are not responsible for damage caused by misuse or incorrect cleaning products.
10. Workmanship Guarantee
We provide a 12-month workmanship guarantee covering installation faults only. This does not cover wear and tear, water damage, subfloor movement, structural defects, or customer/third-party damage.
11. Cancellations & Rescheduling
Cancellations must be made at least 48 hours before the scheduled start date. If materials have been ordered, restocking fees or loss of deposit may apply. Short-notice cancellations may result in a charge for lost labour time.
12. Liability Urban Floor Designs holds public liability insurance.
We are not liable for delays outside our control or issues caused by structural defects, poor subfloor condition, or customer-supplied materials. Liability is limited to the value of the services provided.
13. Customer-Supplied Materials
If the customer supplies materials, Urban Floor Designs is not responsible for defects, shortages, delays or re-visits caused by incorrect or faulty items. Additional visits will be chargeable.
14. Waste Removal
Waste removal is included only if stated in the quote. Otherwise, disposal is the customer’s responsibility unless agreed separately.
15. Complaints Policy
Any concerns must be reported within 48 hours of completion. We will assess and rectify valid workmanship issues within the guarantee period.
16. Photography & Marketing
We may take photos of completed work for marketing purposes. No personal details will be shared. Please inform us before work begins if you prefer no photos.
17. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. By accepting a quote, paying a deposit, or confirming a booking, the customer agrees to these Terms & Conditions.
